Online booking systems for small business: off-the-shelf or custom?
How to choose an online booking system for an Australian small business, when an off-the-shelf tool is enough, and what a custom booking system costs.

Short answer: most small businesses should start with an off-the-shelf booking tool built for their industry — it is cheap, reliable and live within a day. A custom booking system earns its cost when your rules do not fit anyone else's software: several resources that must be free at once, unusual deposits or pricing, a marketplace where other people's spaces or time are booked, or a workflow that has to connect bookings to the rest of your business. Start with the questions, not the software
Before comparing tools, write down answers to these:
- What is being booked? A person's time, a room, a piece of equipment, a space someone else owns — or a combination?
- Who can book, and how far ahead? Anyone, members only, returning clients only?
- How do you take money? Nothing upfront, a deposit, full prepayment, a package of sessions, a subscription?
- What are the cancellation rules? And who enforces them — the software or you?
- What else needs to know? Your calendar, your accounting software, your CRM, reminder texts, staff rosters.
If your answers look like "a staff member's time, anyone, card on file, 24 hours' notice, Google Calendar" — an off-the-shelf tool will do it well.
When off-the-shelf is enough
There is a mature booking product for almost every common industry: general appointment schedulers, salon and beauty booking apps, practice-management systems for clinics, class and gym schedulers, and restaurant table booking. Their strengths:
- Low cost: a monthly subscription, often tiered by staff or bookings.
- Proven reliability: double-bookings, time zones, reminders and payments have been solved thousands of times.
- Fast to start: most connect to your website with a button or an embedded widget.

When a custom booking system makes sense
- Several resources at once. A booking needs a room and a practitioner and a piece of equipment to all be free.
- Unusual pricing. Prices by time of day, season, duration, group size or member tier.
- A marketplace. You are booking other people's time or space and taking a fee — hosts and customers, each with their own accounts, payouts and trust checks.
